Delete your data
You can ask the AAC to delete the personal data the Académica app holds about you. Here we explain how to do it, what is deleted and what the law requires us to keep.
Who can ask
Any member of the Associação Académica de Coimbra whose data is in the app, for example because they signed in with their membership number, paid section fees or ordered from the shop. The AAC member register is kept in this platform by the AAC Secretariat, including people who became members through the app; the data was imported once from the previous system and is not synced with any other system. Non-members who ordered from the shop can also ask, quoting the email they used. If you use the app without signing in, you are not identified: notification preferences are linked only to your phone.
How to ask
Choose whichever option suits you. To protect your data, we may ask you to confirm your identity before deleting anything.
In the app
- Open the Académica app and sign in with your membership number.
- Open “Member area” in the More tab.
- Tap “Request deletion of my data” and confirm.
The request is linked to your member session, so you don’t need to prove your identity in any other way.
By email
Write to the AAC support email shown on the Support page with the subject “Data deletion”, your name and your membership number.
Send the request from the email address on your membership record: that is how we confirm the request is yours.
Using the contact form
On the Support page, choose the closest subject, write “Data deletion” in the message and include your name and membership number.
What is deleted
- Your identification and contact details stored in the app: name, membership number, date of birth, tax number (NIF), email, phone number and address.
- Your active sessions and the phones linked to your account, which lose access.
- Your notification preferences, saved events and the structures you follow.
- Messages sent through the contact form and your order history, except for the documents the law requires us to keep.
What the law requires us to keep
- Invoices and payment records (section fees and shop), kept for the period required by tax and accounting law (usually 10 years), solely to meet those obligations.
- Audit and security logs, for no longer than strictly necessary to show that the request was handled.
These records are anonymised wherever possible: they are no longer linked to your profile in the app and are not used for any other purpose. They are deleted once the legal period ends.
Timeline
Acknowledgement
We confirm receipt by email, usually within a few working days.
Verification
If the request does not come from the app or from the email on your membership record, we may ask you to confirm your identity.
Deletion
Deletion is completed within one month of your request at the latest, and we let you know by email. In complex cases the GDPR allows this period to be extended by two further months; if so, we will explain why. Backups are overwritten in their normal cycle.
Your rights
The AAC is the controller of your data. Besides deletion, you can ask for access to, rectification or portability of your data, and lodge a complaint with the Portuguese data protection authority (CNPD). Full details are in the Privacy policy.
